Here’s a question worth asking yourself right now: does the loan balance on your books match what your bank actually says you owe?
If you don’t know the answer, you’re not alone. Most business owners have never checked. Most bookkeepers, honestly, have never taught them to.
Every month you make a loan payment, that payment is doing two things at once: paying down what you owe (principal) and paying the cost of borrowing (interest). Your bank statement knows the exact split. Your books need to know it too—or your loan balance and your bank’s numbers will drift apart, a little more every month.
Reconciling means going back through, confirming the interest actually got recorded as an expense, and getting your books to say the same number your bank says.
Yes, this can be done monthly, or it can be dealt with on an annual basis. Depending on what a client needs, I may not reconcile the account until the end of the year. That is when I’ll move the entire interest expense for January through December, based on the bank document, and reconcile the account.
Yes. Here’s why.
You can’t move forward with clean loan reconciliation without first fixing the past. That doesn’t mean re-opening a closed tax year or refiling anything. It means you make the correcting entry today, dated for the current period, with a note explaining what it’s for and what period it covers. You’re not changing history—you’re catching your books up to it.
And once you do that, it needs to happen at least annually going forward. Not “eventually.” Not “when I think about it.” Annually, at minimum, so your loan balance and your bank balance stay in agreement, and so you’re not stacking up years of drift again…and missing that interest expense.
This isn’t busywork. Here’s what’s actually on the line:
Most of the time, it’s not because anyone did anything malicious. It’s because the person doing the books—whether that’s a bookkeeper or the business owner themselves—didn’t know how to split a loan payment correctly, or didn’t know it needed to happen at all. Loans aren’t intuitive. Nobody hands you a manual when you sign for one.
Pull up your loan account on your books and your most recent bank or lender statement side by side, then run through this:
If you checked “no” on more than one of these, your loan isn’t reconciled, and there’s a real dollar cost sitting behind that gap.
You’ve got two paths here, depending on how hands-on you want to be.
If you want it handled—fully, correctly, and off your plate—that’s Done-For-You Monthly Bookkeeping. We reconcile your loans as part of the regular work, not as a special project you have to remember to ask for.
If you want to understand it and do it yourself, with an expert checking your work and keeping you accountable, that’s what the Advisory Vault is for. You stay hands-on. We make sure you’re doing it right.
Either way, don’t let “it’s already a closed year” talk you out of fixing it. Your numbers, your taxes, and your future self will thank you.
Let’s talk it through—book a call.
