Does this category help me make better business decisions?
Reuse a Category When:
- The expense serves the same purpose as others in that category
- You’re tracking the type of expense, not the vendor
- Breaking it out wouldn’t change how you manage your business
Example: Most software tools belong under Software & Subscriptions. Separating each one rarely adds value.
Create a New Category When:
- The expense is significant and recurring
- You want to actively monitor or control that cost
- It impacts pricing, profitability, or growth decisions
What to Avoid
Avoid creating categories for one-time purchases, individual vendors, or minor expenses. More detail doesn’t always mean more clarity.
Categories should make your reports easier to understand at a glance. If they’re making things more confusing, it’s a sign your structure needs simplification—or professional support.
Know When to Pause
Some transactions deserve extra care, including:
- Owner-related activity
- Transfers between accounts
- Loan and credit card payments
- Payroll-related items
